What you enjoy doing
You will thrive in a front-facing, people focused role, coordinating all business travel bookings and supporting the Front of House coordinator in the day-to-day management of the Practice reception function. In a fast-paced environment, you will respond to various travel requests throughout the week and enjoy the challenge of compiling complex travel options and itineraries. You will be on top of current travel issues, anticipating delays and cancellations and communicating effectively with travellers who are on the go. You will be comfortable meeting and greeting visitors, answering the phone, and responding to various support requests from across the practice. A confident communicator, you will interact with a range of people, from VIP office visitors to new starters, ensuring a positive and professional interaction for all individuals arriving and departing our studio.
About the role
Your role will involve managing all company travel booking requests through the office portal for staff and occasionally clients, collaborators, or external colleagues. Providing an exemplary travel booking service is crucial for the smooth running of projects. You will organise international travel itineraries, book flights, hotels, trains, and transfers, liaising with project administrators and other staff, while maintaining the practice travel calendar and ensuring timely renewal of travel documents.
Front of House
You will help ensure visitors receive a warm welcome, addressing client and visitor inquiries, concerns, and handling any special requests. You will assist in managing office incoming calls, emails, post, and deliveries, redirecting or responding as necessary. Keeping a clean, organised reception area and promoting a tidy working environment is key. You will work with operational staff to ensure the studio remains organised for efficient working.
Meeting room coordination
You will assist in coordinating meeting room bookings, ensuring rooms are equipped and tidied between meetings. Working closely with operational and IT staff, you will assist with technical setup, troubleshoot AV equipment, and provide technical support if required. Additionally, you will help arrange catering, refreshments, and other special requests for meetings and events.
The Operations team works across the practice on various tasks to ensure the smooth day-to-day running of the studio. You will assist in managing general office support requests via the internal support portal, handling a variety of requests throughout the day. You will also support the office with general administrative duties, including filing, document management, and maintaining office supplies. Your role may include covering for other Operational support roles in the instance of absence or annual leave.
What about you?
Two+ years' experience in travel booking/administration
Excellent administrative and organisational skills
Proficiency in Microsoft Office suite and Adobe
Excellent communication skills, both spoken and written English
Assertive and well-organised, with meticulous attention to detail
Ability to work in a fast-paced environment
