Team Assistant – Office of David Chipperfield

This is a wide ranging and busy role within the team which supports founder Sir David Chipperfield across all the group practices (London, Berlin, Milan and Shanghai). This role would be a great next step for someone with good administration experience who is interested in expanding their skills to support a busy executive office team in a creative international architectural practice. The role focuses on team level support primarily to the Executive Assistant to David Chipperfield and to the Research, Communications and Special Projects Associate. You will be based in our central London office (Note: we are currently working from home following government guidance).

Key responsibilities

Office administrative support
— Filing, post, organisation of network folders and contact lists
— Meeting follow up and preparation
— Administration for all invitations, RSVPs, diary scheduling
— Organisation of social events for clients, industry networking and other executive contacts
— Ad-hoc research
— Ad-hoc tech support
— Reconciling credit card statements and cash receipts, expenses

Travel management
— Coordination and booking of travel for David Chipperfield (and family) including international travel
— Researching best flight connections / costs (getting several quotes and suggesting possible itineraries) / liaising with travel agent to book flights / trains

Diary preparation
— Prepare meeting invitations and maintain an organised Office diary
— Briefly join online meetings for set up (i.e. screen sharing, recording, etc.)
— Forward planning of annual industry relevant events

Skills knowledge and expertise
— Experience managing Outlook diaries and emails for a busy team
— Strong focus and attention to detail
— Experience of international business travel planning
— Excellent knowledge of Word, Excel and Outlook
— Experience co-ordinating social diaries and events
— Excellent communications skills including written and spoken English

— Confident and able to work independently
— Solutions and client service-oriented, with an emphasis on diligence
— An interest in architecture and design ideally with an arts related degree
